Privacy Policy

• Contact and identification — name, business name, job title, email, phone, mailing or shipping address.
• Inquiry, demo, and quote details — your materials, production volume, current equipment, timing, budget range, specifications, and any files (drawings, DXF/DWG, samples) you share.
• Financing inquiries — only the limited information needed to introduce you to a financing partner; the partner collects credit information directly under their own privacy notice.
• Account, support, and warranty information — serial numbers, configuration, service history, and the contents of your support requests.
• Communications — emails, voicemails, chat transcripts, SMS, contact-form submissions, and notes our team takes during calls or meetings (recorded only with notice).
• Marketing preferences — your subscription status and the topics you want to hear about.
• Device, connection, and usage data — IP address, browser type, operating system, device identifiers, language, referring URLs, pages viewed, time on page, and form interactions.
• Cookies and similar technologies — see “Sharing & third parties” for the categories we use.
• Information from third parties — service providers (e.g., Webflow, HighLevel / GoHighLevel, analytics, advertising, payment, financing, shipping), public business sources, and referrals.

• Respond to you — return a quote, schedule a showroom demo, answer a question.
• Deliver and support our products — configuration, installation, training, warranty, parts, and service.
• Operate our business — billing, accounting, fraud prevention, internal reporting.
• Marketing and outreach — newsletters, product announcements, event invitations, and retargeting ads, on the basis of your express or implied consent under CASL.
• Site analytics and improvement — understand what works on the Site, fix issues, build better pages.
• Legal and regulatory compliance — tax, export controls, sanctions screening, dispute resolution.
• What we don’t do — we do not sell your personal information, and we do not use automated decision-making that produces legal or similarly significant effects about you.

• Where your data lives. Vantix is based in British Columbia. Some of our service providers store or process personal information outside of Canada — primarily in the United States. When that happens, your information is subject to the laws of those jurisdictions and may be accessed by foreign authorities under local law. We use contractual safeguards (including standard contractual clauses, where applicable) to require comparable levels of protection.
• How long we keep it. Inquiries and quotes — up to 7 years from your last interaction. Customer records — for the life of the equipment plus the period required by Canadian tax and corporate-record laws (generally 7 years from the end of the relevant tax year). Marketing lists — until you unsubscribe. Site analytics — typically up to 26 months in aggregated form.
• How we protect it. Administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold — including access controls, role-based permissions, encrypted transmission (TLS), secure cloud storage with reputable providers, employee training, vendor due diligence, and incident-response procedures. If we ever experience a privacy breach that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada in accordance with the law.

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information we hold. These include access controls, role-based permissions, encrypted transmission (TLS), secure cloud storage with reputable providers, employee training, vendor due diligence, and incident-response procedures.

No system is perfectly secure. If we experience a privacy breach that creates a real risk of significant harm, we will notify affected individuals and the Office of the Privacy Commissioner of Canada (and other regulators, as required) in accordance with the law.

• We never sell or rent your personal information to third parties for their own marketing.
• Service providers and processors — our website host, CRM and marketing-automation provider (HighLevel), email and SMS delivery, calendar and meeting tools, analytics (e.g., Google Analytics), advertising platforms (e.g., Google Ads, Meta, LinkedIn), telephony, payment processors, financing partners, freight and logistics partners, training and field-service partners, and our professional advisors. They are contractually required to protect your information and to use it only to provide services to us.
• Authorities — we may disclose information if required by court order, subpoena, regulatory request, lawful investigation, or when we reasonably believe disclosure is necessary to protect our rights, the rights of others, or public safety.
• Business transfers — if Vantix is involved in a sale, merger, financing, reorganization, or acquisition, personal information may be transferred as part of that transaction, subject to commercially reasonable confidentiality protections.
• Cookies and tracking — we use cookies and similar technologies for site operation (strictly necessary), performance analytics (e.g., Google Analytics), advertising and remarketing (e.g., Google Ads, Meta, LinkedIn), and functional preferences. You can manage cookies through your browser; doing so may affect how the Site works.
• Marketing under CASL — every commercial email we send identifies us, includes our mailing address, and offers a clear unsubscribe link. We action unsubscribe requests within 10 business days.
• Third-party links — the Site may link to third-party websites; we are not responsible for their privacy practices.
• Children’s privacy — the Site is intended for businesses and adults; we do not knowingly collect personal information from children under 16.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. SMS opt-in consent and phone numbers are not shared, sold, rented, or transferred to any third party — except with SMS service providers required to deliver the messages you have requested (such as HighLevel / LeadConnector, our SMS platform, and the telecommunications carriers that transmit the messages). All categories of personal data described in this Policy exclude text-messaging originator opt-in data and consent.

Service providers only. Mobile opt-in data and consent are processed by our service providers (such as HighLevel / LeadConnector, our SMS platform, and the telecommunications carriers that deliver the messages) solely to deliver the messages you have requested.

Frequency, rates, and opt-out. Message and data rates may apply. Message frequency varies. Reply HELP for help or STOP at any time to opt out. You may also withdraw consent at any time by emailing info@vantixlasercanada.com with "STOP SMS" in the subject line.

We use cookies, pixels, and similar technologies to operate the Site, remember your preferences, measure traffic, understand which pages are useful, and deliver relevant advertising. Categories: strictly necessary (required for core Site functionality), performance and analytics (e.g., Google Analytics), advertising and remarketing (e.g., Google Ads, Meta Pixel, LinkedIn Insight Tag), and functional (language and form preferences).

You can manage cookies through your browser settings, including blocking or deleting them. Doing so may affect how the Site works for you. Where required by law, we will request your consent before placing non-essential cookies, and you can change your cookie choices at any time using the cookie settings link in our footer.

We do not currently respond to "Do Not Track" browser signals as no common standard has been adopted.

• Opt out of marketing at any time by clicking “unsubscribe” in any email, replying STOP to any text, or contacting us directly.
